Connections

Prev Next

In Flows, a Connection is a secure link between your flow and an external service or application (such as Visma Net, Google Sheets, Slack, or other applications).

Connections allow Flows to communicate with these applications on your behalf, so that your flows can automatically send or retrieve data without needing you to log in each time. Think of a connection as the bridge that makes automation possible.

Why Are Connections Needed?

Authentication: Connections securely store your login credentials (such as OAuth tokens or API keys).

Reusability: You can create a connection once and reuse it across multiple flows.

Automation: Without a connection, Flows wouldn’t be able to perform actions like creating an invoice in Visma Net or sending a message to Slack.

Connections menu

The Connections menu shows all the apps and services connected to your own flows and your team’s flows.

By default, Connections you create are private and only usable by you. However, when applicable, you can share a connection with members of your team, allowing others to use it in their own flows without needing to create a separate connection.

Each Connection shows:

  • Name: The name of the connection

  • App: The application chosen in the flow editor step for which the connection was selected or added as a new connection

  • Flows: The number of flows in which this connection is used. This is a link that displays a filtered list of flows by this connection's usage.

  • Last modified: When the connection was last modified

  • Owner - people with access: The user who created the connection and which team members have access to the connection to use it in flows

  • Actions: A list of available actions for managing a connection, only available to the connection owner

Available actions

The connection owner is the only one able to perform these action:

  • Rename: In case your connection has the default name or you wish to change the name

  • Share: By default, a new Connection is private and available only to the owner, which is the user creating the new connection from within a flow step. The owner can change the availability and share the connection with the entire team or only specific team members. After sharing the connection, the team members will be able to use it in the flow editor step for the specific application.

  • Delete: You can delete a Connection if it is no longer usable. Note: If a Connection is in use, a warning message will be displayed to indicate that deleting it will break those flows.

Search and More Filters

You can search a connection by entering the connection name criteria in the search box or using More Filters.

Once you click on More Filters the following screen will appear:

More Filters allows you to search connections by:

  • Application: Specify for which application the connection was created

  • Shared with: Search for specific user the connection is shared with

  • Owned by: Search for connections owned by a specific user

Note: Connections cannot be added directly in the list. A connection is added only from within the Flow editor step for the chosen application.

Limitations:

Connections cannot currently be edited, and expired connections will be visible, but cannot be reconnected. If a connection stops working, you will need to update it directly from the flow editor in each flow where it is used.

We are working on improvements to make this process easier and more user-friendly.
